PowerSchool - Storing Grades
Testing tip:You can select a single student like normal and while on step 5, click on the 'Store grades for currently selected students only'. Warning: If you 'forget' to select that box it will run for the whole school, erasing any manual entries you may have done for the term.
- Step 0: Identify who in your school should be doing the storing of grades.
- Step 1: Verify your teachers are done grading and are confident in the grade listed in PowerTeacher Pro, not Schoology.
- Step 2: Identify when the drop date for classes was and if there is a 'minimum' required start date for a class (possibly the same date). If your school did not have a drop deadline, your drop date should probably be two days before the end of the semester. You will likely have data cleanup to perform and should talk about implementing a drop deadline in the future.
- Step 3: Identify your historical code, for Semester Schools (SHS, SMS, CF) this should be S2 for semester 2, for Quarter Schools (LPO), this should be Q4 for quarter 4. I don't believe any schools are a hybrid anymore so that makes this a lot easier for everyone. Note: I am talking about the PowerSchool course length, not the total length of a course. If you don't know, ask.
- Step 4: Go to https://lposd.powerschool.com/admin/tech/storegrades3.html
- Step 5: Make the following selections:
- Use this Final Grade/Reporting Term: S2 (SMS, SHS, CF) or Q4 (LPO)
- Save with this Historical Store Code: This should be the same as above
- If you have a minimum start date select the first check box and input the date (see step 2)
- Select the "Exclude enrollment records where the student dropped the class before this date" checkbox and input the drop date date (see step 2)
- Skip to "classes by term length"
- Under either Semester 2 or Quarter 4 change the drop-down from "Do not store" to "Store with credit", and input 100 to the now available field.
- If your school has implemented a credit attendance freeze you may use the 'Options for withholding credit' to do them en mass. You will need to go back and fix as these are resolved.
- Everything else should be a default value.
- Step 6: Click on Submit, this will likely take a little bit to process.
Note on data cleanup: We do have the ability to wipe grades and re-store, however any manual changes will be erased. If a re-store is done, any manual changes are again erased. Best practice for a teacher changing a grade after the semester is to check that the teacher has changed the grade in PowerTeacher Pro first, before updating.
Data cleanup: Find several students who dropped classes (including switching classes) and enrolled late. Under their 'historical grades' there should be only one grade per row and column. Any _ or duplicate grades may indicate an issue, hold off on report cards and transcripts and contact helpdesk.
